What is the Daily Digest?

With the current state of the internet, it's easy to dig someone's email address. Our email addresses are bought and sold many times in a day by the marketers. It means anybody with our email address can start selling to us.

While, cold-emails are sometimes valuable, getting cold-marketing emails are what spoil our inboxes for us.

With the Daily Digest feature, Mailman holds back all the emails coming in from Unknown senders for you to review them once a day.

But first, what are Unknown senders?

A sender is considered to be Unknown if they fall into either of the following categories –

someone to whom you've never sent an email before
someone from whom you've not reviewed an email before

All the incoming emails except the ones from the Unknown senders are delivered to your inbox at your delivery schedule. All the emails from the Unknown senders are held back by Mailman for your review once a day.

Daily Digest

Every day, in the evening, Mailman sends you a Daily Digest that looks like this:

This email tells you if there are any emails pending for your review and gives you a brief glimpse of all the emails processed by Mailman for your inbox.

Clicking on the "Review 2 Emails" button will directly take you to your account where you can either Allow or Block

What does my email workflow look like with Mailman?

Mailman is the suite of tools that helps you maintain a calmer inbox. With the current state of our inboxes, everything seems to be on fire, when in reality, that's not the case.

After signing up for Mailman and activating it, your new workflow would look like the following.

No more 24x7 tackling your inbox

As soon as you activate Mailman, it stops any incoming emails showing up in your inbox. All of them are snoozed until you're ready to tackle them – at your time.

Delivery Slots allow you to set a schedule for yourself when all the snoozed emails are delivered to your inbox. Only at these delivery slots, emails show up in your inbox, and that's when you'll handle them – not throughout the day.

Only VIPs get your immediate attention

Of course, there would be certain kinds of emails that you'd like to receive immediately. They could be from people like your VIP customers, your team members, or your family.

With VIPs, you can set various domains, email addresses, and keywords, when any of which is found in an email, they are delivered to your inbox immediately.

How to turn OFF the Daily Digest?

Not everybody gets as much spam as others do. If you're the one who had been keeping your inbox very clean, you might want to consider turning off Mailman's filtering/Daily Digest OFF.

It's easy and takes just about a couple of seconds.

First, head over to your Daily Digest using the user menu.

In there, you'll see the switch to turn off the feature. Turn it OFF.

That's it. Now, Mailman will deliver all the incoming emails in batches at your delivery schedule without holding back any emails from the unknown senders.

How to uninstall Mailman?

If for any reason, you feel Mailman is not the right solution to your inbox troubles, it's easy to unplug it from your Gmail account.

Step 1: Stop Mailman

The first step would be to disengage Mailman from your inbox. If you have still have Mailman activated for your account, you'll need to click on the Stop Mailman button in your account. The button looks something like this:

Step 2: Revoke access to your Gmail account

The last step would be to remove Mailman's access to your Gmail account. Here's how to do it.

Go to https://myaccount.google.com?authuser=youremailaddress@gmail.com (replace youremailaddress@gmail.com with your email address)
On the left navigation panel, select Security.
On the Third-party apps with account access panel, select Manage third-party access.
Select Mailman.
Select Remove Access.

You're done! Mailman does not have access to your inbox any more.

How to best configure Mailman for my inbox?

Given you understand how your new email workflow looks like, let's get the best possible settings configured for your account. It's easy!

Activate

Before anything else, we'll activate Mailman, right after you sign up. Activating it only takes a single click. Click on the Activate Mailman button on your dashboard, and you're done.

Now we'll go through each of the three boxes on your account's dashboard to configure them.

VIP List

First comes the VIP List. There are some emails that we'd want to receive as soon as possible and act of them immediately. VIP List allows you to configure various domains, email addresses, and keywords as VIP items. Any incoming email matching any of them will bypass Mailman and will immediately land in your inbox.

Click on the Manage VIPs and you'd want to add the following items in your VIP List:

VIP Domains: domain of your company, domain of your bank, or any other financial product you use (eg. stripe.com).
VIP Email Addresses: email addresses of your lawyers, clients, the spouse would ideally go here.

I've activated Mailman, but emails continue to come through as usual.

If you're one of the very few people for whom Mailman doesn't seem to do anything at all once activated, it is because of a very rare setting in Gmail.

Open your Gmail account in Gmail interface.
Go to Settings > Inbox.
In the end, you'll see a setting called Filtered mail. It should be set to Don't override filters.

Once this setting is fixed, Mailman will work as intended.
